USE CASE

Medical Facility Transformation in Kenya using the Low-Code VSoft archITekt Platform

Execution Time: 4 days

Challenges

A medical facility in Kenya, serving a total of 2142 patients across all its branches, was facing difficulties in transmitting information between different departments. The diagnosis process, from patient registration by the receptionist to sending the prescription to the pharmacy, was complex and time-consuming, requiring optimization.

Objectives

The facility sought a solution to quickly and easily implement several key tasks that would significantly improve patient service efficiency and quality.

Automate the diagnosis process

The primary goal was to create a system that automates the entire diagnosis process, from patient registration, through necessary tests, to prescription delivery. Automating this process would reduce patient waiting times and eliminate errors resulting from manual data entry.

Information flow between specialists

Another goal was to enable smooth information flow between various specialists, primarily ophthalmologists but also dentists, orthopedists, and radiologists. This would allow doctors to quickly and efficiently consult cases and exchange vital patient data, contributing to more effective treatment and diagnosis.

Management system for test results and data archive
An essential goal was to create a system that records test results at various stages of the process and builds a data archive. This would facilitate easy tracking of patient medical histories, monitor treatment progress, and quickly find necessary information for subsequent visits.
From registration to archive – comprehensive patient service automation

Solution

The facility chose to use the Low-Code VSoft archITekt platform to build a personalized solution that perfectly met their needs. The platform enabled the development of a system that efficiently manages patient data and the treatment process. Several functionalities were implemented in the system, such as:

Dashboards for staff

Creating interactive panels that allow staff to register, search, and edit patient data. This provides easy access to essential information and streamlines the daily work of medical personnel.

Access for doctors

Doctors have access to a list of patients and a form where they can enter relevant parameters, such as temperature and age. This functionality facilitates tracking patient health and making diagnostic and therapeutic decisions.

Treatment history

The system allows sharing a patient’s treatment history and archival data, significantly facilitating the diagnostic process, and ensuring continuity of medical care.

Attachments

The ability to add and download attachments at every stage, including specialized test results, enables comprehensive documentation and storage of essential patient health information.

The basic functionalities of the Low-Code VSoft archITekt platform allowed the creation of a fully functional system that can be expanded as the facility grows. It also enabled the customization of data structures to meet the facility’s individual needs by:

  • Defining basic parameters, such as type, name, and other properties specific to different types of objects, allowing flexible data management.
  • Determining relationships between different data structures, enabling complex queries and data analysis.
  • Specifying field attributes, such as default values, mandatory fields, input precision, and character limits for strings, ensuring data accuracy and completeness.
  • Using dictionary fields, lists, and substructures, facilitating data categorization and grouping.
  • Documenting data structures by adding descriptions to individual fields, aiding in understanding data and the processing process.

This solution allows the facility to efficiently manage patient data, ensuring high-quality medical care and adapting to changing needs and requirements.

Results

With the new solution, the facility experienced a significant reduction in the time required to manage patient data, increased efficiency in diagnosis-related processes, and the elimination of errors resulting from manual tasks. Employees benefit from the convenience of online patient registration and easy access to archival data stored through the VSoft archITekt platform-created system.

Improved coordination among specialists

Enabling smooth information flow between different specialists allows quick consultation of cases and exchange of essential patient data, contributing to more effective treatment, faster diagnostic and therapeutic decisions, and increased patient satisfaction with medical care.

Easy tracking of patient medical histories

The creation of a system for managing test results and data archives allows easy tracking of patient medical histories, monitoring treatment progress, and quickly finding necessary information during subsequent visits. This improves the continuity of medical care and enables doctors to better understand the patient’s health status, making more accurate therapeutic decisions.

Summary

The development of the Patient Registration Application using the Low-Code VSoft archITekt platform proved to be a crucial step in process optimization. The archITekt platform reduced implementation time by eight times compared to traditional coding methods, and the first operational Minimum Viable Product (MVP) was created in just 4 days. This not only resulted in significant cost savings and project time reduction but also improved data management, internal communication, and key administrative processes. Even a non-programmer was able to create a functional system in a very short time, automating the facility’s operations and improving information flow between teams, enhancing work dynamics.
